Could You Use A Rugged Mobile Computer?

The Motion Computing F5v is an impressive computer that just might be the solution for your ministry.  If you work:

  • outdoors
  • in remote locations
  • in a field clinic
  • in a warehouse with inventory
  • at a conference

Perhaps our FamilyLife, GAiN and JESUS Film ministries, as well as others, could use a rugged tablet like this.

I was impressed that you can swap your first battery with a charged second battery without shutting down.

  • a bar code scanner

It’s Windows-based which would be important for accessing Campus Crusade for Christ systems, such as PeopleSoft.

MinistryNet 2011 Overflows with New Ideas

Campus Crusade’s MinistryNet conference went ahead earlier this month despite historic flooding in Thailand.  Close to 200 men and women, committed to building spiritual movements for Christ, gathered in Bangkok, Thailand, to strategize about using the internet for ministry.  (More were also able to participate through streaming video.)  Their hotel and location were not affected by the devastating floods and they were even able to minister to Campus Crusade for Christ staff in Thailand (see notes).

Since the last conference two years ago, mobile phones, iPads, and social media have increasingly changed the way people communicate and interact, so new ideas and new methods were presented in seminars and discussed in groups.  These groups were challenged to meet several times during the conference to develop do-able 90-day projects.  Some of these projects are already in process. (Three friends allowed me to post their photos from the conference for a short Flickr slideshow.)

Online Reimbursements

I’ll admit it.  I resisted for a while.

We had a system for keeping track of reimbursements.  We wrote our ministry and medical mileage in a notebook we kept in the glove compartment and I put all our reimbursement receipts in a folder.  My husband would then use the folder every few months or so to submit a reimbursement.  We’d occasionally miss something that was older than the ninety-day limit.

Then, Mike started using the online reimbursement function on the Staff Web after it came out.  A year or so later, he asked if I would submit our reimbursements online.  Well, I didn’t want to change what we were doing and thought it would be “one more thing to do.”

Now, it’s my preferred way to submit reimbursements.   I’m actually the one who probably knows what needs reimbursing.  It was also logical for me to enter our expenses and mileage online soon after they occurred instead of trying to remember everything later.   We rarely go past the ninety-day limit any more.   Also, when our reimbursement total reaches just under $500, we simply submit the reimbursement and don’t even need to get a signature.

So, pull out that folder of receipts from your trip to our National Staff Conference and submit a new reimbursement online:

1.       Log in to the Staff Web

2.       Click on Staff Services in the left sidebar

3.       Scroll down to the shortcuts on the left and click on “Reimbursements

4.       Click on “New Reimbursement” in the box in the upper left.

5.       You’ll start in the blue box above “your reimbursement”.  This box has two options: “add line” and “enter mileage log.”   (The instructions to the left of the “Reimbursement Actions” changes for “add line” and “enter mileage log” and will help you.)  Fill in the information for each item and then click the “add” button in the lower right of the blue box  to enter each item on your reimbursement.   The mileage log allows a maximum of ten trips so you may need more than one log per reimbursement.

6.       If you’re just adding expenses, click on “save, but not submit” at the bottom of the page on the right.  I always click this because my husband does the actual submission when he’s at the office, but if your reimbursement is ready, click on “continue to submit” and follow the instructions.

7.       “Reimbursements that total less than $500 and do not require any receipts may be submitted electronically with no other steps involved. For reimbursements that total $500 or more and/or require receipts, the online reimbursement will need to be printed and mailed to the Reimbursements Team with the appropriate receipts and/or approvals.” (quoted from the Staff Services site)

If you are coming back to add more to a reimbursement:

  • Do steps 1 to 3, above
  • You’ll see your reimbursement at the bottom of the Reimbursements page with “stored” next to it.  Click on “View details” which takes you to see your reimbursement.
  • Click on the “edit this reimbursement” button underneath the reimbursement in order to add more items.
  • Continue with steps 5 and 7, above

TIPS

  • You can edit items any time while working on your reimbursement or if you want to come back later to edit or add more items before you submit it.
  • If you need help, look for “Questions” at the top of the reimbursement main page.  Click on the Financial Policy Manual link or contact someone through their email or 800 number.
  • Use Google Maps to figure out your mileages, especially if you’re adverse to logging miles in a notebook.  (This is the only way I do it anymore.)  Just put in the beginning and ending street addresses.

I hope you’ll try online reimbursements if you haven’t already.  I also have a great spreadsheet I use to keep track of medical expenses which I’ll share in a future post. I use it while working on a reimbursement and for keeping track of medical bills.

The Meet and Greet

Our first event brought together authors and bloggers and anyone interested in reading and publishing.  More than sixty women came.  We announced our new Global Staff Women site and gave away free books as door prizes.

I scheduled two “table top discussions” with about a dozen coming to each.  I’ll continue to be in touch with anyone who’s interested in:

  • evangelistic blogging, and
  • social media as a ministry.

Mentoring

A special thanks to our mentors!  Twenty-two women helped another thirty-six women with their tech needs!  Women learned how to use Facebook and TntMPD.  Several started a blog.  A number of women asked for help with their smartphones and iPads.

What’s Next?

I thought I was setting up all of these opportunities for women to connect with and help each other.  I hoped this would grow, of course, but I think God has a bigger plan than I did.

Several women remarked after the meet-and-greet that they want to continue the connections we started that afternoon.  Whether or not you were there, let us know if you’d like to connect with other women authors and bloggers on Campus Crusade staff, either as a reader or an author.

I also hope that we can continue long-distance mentoring to help more women within Campus Crusade for Christ enhance their ministries through technology.
